Google launches AI-powered meeting scheduler in Gmail to reduce coordination time

Google has introduced a Gemini-powered scheduling assistant in Gmail that automatically suggests meeting times based on calendar availability and email context. The Help me schedule feature aims to eliminate the multiple back-and-forth emails typically required to coordinate meetings with external clients and customers.
Context and Background
The new feature detects when users are attempting to coordinate meeting times within email conversations and surfaces a Help me schedule button in the Gmail toolbar. When activated, Gemini analyses the email’s context and the user’s Google Calendar to recommend suitable time slots. For example, if someone requests a 30-minute meeting next week, the system automatically identifies available slots matching those parameters.
Users can customise Gemini’s suggestions by removing or adding time options before inserting them into their email message. Once the recipient selects a preferred time, calendar invites are automatically added to both individuals’ calendars. The feature currently supports scheduling between two people only, with group scheduling not yet available.
Looking Forward
The gradual rollout begins 13 October 2025 for Rapid Release domains and 28 October 2025 for Scheduled Release domains, with feature visibility taking up to 15 days. The tool is available to Google Workspace Business Standard and Plus, Enterprise Starter through Plus, AI Pro for Education, Frontline Plus, as well as Google AI Pro and Ultra subscribers.
This launch continues Google’s integration of Gemini AI capabilities across Workspace applications, focusing on reducing administrative friction in business communication. The feature will be enabled by default for eligible users, with administrators able to manage access through Workspace settings.
